ACW Soft Solutions

CRM integration and process automation

Automate repeated record updates, task assignments, and handoffs across CRM and internal systems. ACW defines rules, connects tools, and tests updates and exceptions.

Find the handoff that creates repeated work

  1. 01.

    Manual record updates

People copy the same information between tools. Identify where each field should come from and which system owns it.

  2. 02.

    Tasks without an owner

A status changes, but the next person never receives the work. Define the event, assignment rule, and expected next step.

  3. 03.

    Repeated checks

Teams search for missing information or overdue actions. Specify when the system can act and when it must request a decision.

Specify the workflow before connecting systems

  • Records and stages

Map fields, identifiers, status changes, and the conditions that allow a record to move forward. Define how conflicting updates are resolved.

  • Event-based actions

Connect form submissions, status changes, and other available events to the correct tasks. Define which repeated events should be ignored.

  • System integrations

Review APIs, account permissions, platform limits, and data formats. Establish how updates are checked when one system is unavailable.

  • Approvals and exceptions

Route incomplete records, failed updates, and decisions outside the rules to a named owner. Set limits on retries and explain how to resume work.

What the engagement produces

  • A workflow map with events, rules, and owners.

  • Field mappings and a defined source for each record.

  • Configured automation and integrations within scope.

  • Test findings for ordinary, failed, and repeated events.

  • Operating instructions for exceptions, access, and future changes.

From process review to a controlled rollout

  1. 01.

    Review current work

Follow a real record through the process to identify duplicate entry, missing information, and delayed handoffs.

  2. 02.

    Agree the rules

Confirm permissions, transfers, retention, and approval responsibilities. Estimate platform and task-volume costs.

  3. 03.

    Build and test

Implement the selected flow. Check field mapping, duplicate events, failed calls, and partial completion using agreed examples.

  4. 04.

    Roll out the flow

Define how to pause automation, resolve exceptions, and verify that source and destination records match. Confirm who maintains credentials and responds when an integration changes.

Know whether the workflow is working

Acceptance should cover the records changed, actions created, and exceptions raised. Compare manual touches, completion time, and correction effort with the current process. A successfully received event does not by itself prove that the expected downstream update happened.

This example describes a possible scope, not an ACW client result.

Illustrative workflow: enquiry to assigned task

An enquiry updates the matching CRM record and creates a follow-up task. Missing fields go for review. Repeated submissions follow the matching rule; failed updates remain visible for resolution.

Questions before implementation

Do we need to replace our CRM?

Not necessarily. Review the existing platform’s rules, API access, and constraints before deciding what needs to change.

Does this require AI?

Usually, specified triggers and actions can use deterministic rules. An interpretation task may justify a separate AI step.

What happens when an integration fails?

Define retry limits, exception ownership, and recovery steps. The implementation should distinguish a failed request from an already completed update.
