ACW Soft Solutions

AI transformation from use case to implementation

Choose where AI belongs in your operations, build a pilot, and test it against the work it needs to perform. ACW connects the selected workflow to existing systems and defines the conditions for extending its use.

Start with work your team can evaluate

These are potential starting points. Data availability, task risk, and integration feasibility determine the suitable scope.

A pixel-art processor sending signal lines down into a city of buildings
  • Sales

Structure incoming requests, prepare CRM updates, and draft follow-ups within defined rules.

  • Customer support

Find approved information, prepare responses, and route requests for review.

  • Operations

Extract information from documents and pass reviewed records into the next workflow.

  • Marketing

Assist with information analysis, message preparation, and content review.

  • HR

Help employees find onboarding information and approved internal guidance.

Connect assessment with working delivery

Evaluate four conditions before building

  • Business effect

What changes in handling time, workload, cost, or task completion? Include human review effort.

  • Data readiness

Are sources relevant, current, accessible, and suitable for the intended users?

  • Integration effort

Which systems must exchange information, and which actions can the workflow perform?

  • Operational risk

What happens when the output is unsuitable or an action fails? Identify approval and escalation needs.

Build, test, and decide whether to extend

  1. 01.

    Define the pilot

Select one workflow, representative tasks, a current-process baseline, and acceptance criteria.

  2. 02.

    Implement

Build the pilot and agreed data or tool connections. Configure action permissions and human review points.

  3. 03.

    Evaluate

Test expected requests, unsuitable inputs, and failure scenarios. Review quality, completion, time, and cost against the chosen criteria.

  4. 04.

    Integrate and release

Deploy the accepted scope into the intended workflow. Assign ownership, monitoring, and update responsibilities before broader rollout.

What the engagement produces

  • A prioritized use-case assessment with assumptions and dependencies.

  • A built pilot with the agreed sources, integrations, and action boundaries.

  • Evaluation findings and a decision to release, revise, or stop.

  • Deployment configuration and operational handover for accepted implementation work.

Check outcomes in the workflow

  • Repeated work

Steps completed automatically and exceptions left for people.

  • Response time

Time to a usable result, including review.

  • Knowledge access

Relevant, permitted information found for the task.

  • Consistency

Performance across representative inputs and failure scenarios.

  • Team capacity

Work removed, review added, and new maintenance responsibilities.

  • System fit

Successful handoffs to the tools people already use.

Illustrative engagement scenario

A support team searches several approved knowledge sources before answering requests. A pilot retrieves relevant material and drafts a response for agent review. Evaluation checks usefulness, source relevance, unsuitable requests, and total handling time before deciding on wider adoption.

Questions before an AI program

Does every use case require AI?

No. Rules and integrations may meet the requirement. The assessment compares the approach with the task and the cost of operating it.

Is this a strategy engagement or an implementation engagement?

It can cover assessment, pilot development, and accepted workflow implementation. The proposal names the phases included; a roadmap alone is not implementation.

Who owns the workflow after release?

Agree responsibility for source updates, evaluation, exceptions, provider changes, and support. Ongoing operation requires a defined arrangement with your team or ACW.
